Hi Akhil,

Issue closed, we found that some of out assets reach its active end date. After we extend, it's KPI generated. Thanks for following up.

In Asset Management for Dynamics 365 Supply Chain Management, asset KPIs are calculated only when specific prerequisites are met and the correct setup and filters are used. To find why some KPIs are not calculated, check the following areas step by step.

    1. Verify KPI calculation setup and filters
    • Open Asset management > Inquiries > Assets > Asset KPIs.
    • In the Calculate asset KPIs dialog:
      • Ensure Time scale (Hours, Days, or Weeks) is selected.
      • Ensure From date and To date cover a period where the asset actually has activity (work orders, downtime, costs, or faults). If the asset was created after the From date or became inactive before the To date, the effective period for that asset is shortened automatically.
    • On Records to include, confirm that:
      • The relevant assets and asset types are included.
      • No filters are excluding the assets for which KPIs appear missing.
    • Click OK to recalculate and then check the Overview and KPIs for selected line FastTabs.
    1. Check asset calendars and total time Many KPIs depend on Total time:
    • Total time is taken from the calendar associated with the asset’s related resource; if no resource is linked, the Standard calendar from Asset management parameters is used.
    • If the calendar has no working time in the selected period, Total time can effectively be zero, which prevents meaningful calculation of:
      • Availability
      • Availability %
      • MTBF, MTBS, MTPS, Fail rate, Reliability %, etc. Action:
    • Verify the resource calendar or the standard calendar has working time defined for the selected period.
    1. Validate maintenance downtime registrations KPIs such as Downtime, Number of stops, MTBS, and MTPS depend on maintenance downtime registrations:
    • Downtime and Number of stops are based on maintenance downtime registrations created on the asset.
    • MTBS = Total time / Number of maintenance downtime registrations (or Total time if there are none).
    • MTPS = Maintenance downtime / Number of maintenance downtime registrations (or 0 if there are none). If there are no maintenance downtime registrations in the period, these KPIs may show zero or default values. Action:
    • Confirm that maintenance downtime is actually registered for the asset in the selected period.
    • Check the setup and use of maintenance downtime reason codes; if not used, some downtime-related KPIs will not show meaningful values.
    1. Check fault registrations and work orders Several KPIs depend on fault causes and work orders:
    • Number of faults: requires fault causes registered on fault symptoms for the asset.
    • MTBF (Mean Time Between Failure) = Total time / Number of faults; if Number of faults = 0, MTBF is set to Total time.
    • MRT (Mean Repair Time) = Repair time / Number of faults; if Number of faults = 0, MRT is set to Repair time.
    • Repair time: total work hours on repair work orders (work orders with a related fault cause).
    • Maintenance work orders and Maintenance time: work orders without fault causes. If fault causes are not registered or work orders are misclassified, some KPIs will appear missing or defaulted. Action:
    • Ensure fault causes are consistently registered on fault symptoms for the asset.
    • Verify work orders are correctly classified as maintenance or repair (based on whether a fault cause is linked).
    1. Confirm cost type setup for cost-related KPIs Cost KPIs depend on cost types configured on work order types:
    • Preventive cost: costs posted with cost type "Preventive".
    • Corrective cost: costs posted with cost type "Corrective".
    • Investment cost: costs posted with cost type "Investment".
    • Total cost: all costs posted on the asset in the period. If cost types are not set up or not assigned to work order types, the corresponding cost KPIs will not accumulate values. Action:
    • Check work order type setup to ensure cost types (Preventive, Corrective, Investment) are defined and used.
    • Verify that costs are posted to the asset via work orders using those cost types.
    1. Understand default behavior when data is missing Some KPIs are designed to fall back to default values when underlying data is missing:
    • MTBF: set to Total time if Number of faults = 0.
    • MRT: set to Repair time if Number of faults = 0.
    • MTBS: set to Total time if Number of maintenance downtime registrations = 0.
    • MTPS: set to 0 if Number of maintenance downtime registrations = 0. If these appear “not calculated,” they may actually be showing these default values; confirm by checking the underlying fields (Number of faults, Number of stops, etc.).
    1. Re-run KPI calculations after data changes After correcting calendars, downtime registrations, fault registrations, or cost postings:
    • Return to Asset management > Inquiries > Assets > Asset KPIs.
    • Re-run Calculate asset KPIs for the same period and assets.
    • Review the Overview and KPIs for selected line to confirm the previously missing KPIs now have values.

If, after these checks, specific KPIs still show no values, focus on that KPI’s input fields (for example, for Availability %, verify Total time, Uptime, and Downtime) and ensure the required underlying data exists in the selected period.
