    Hi Gilchrest, Dawn,

In Microsoft Teams, dial-in phone numbers (Audio Conferencing details) are automatically included in meeting invites only when the meeting organizer has the appropriate Audio-Conferencing configuration in place.

Based on this, the behavior you’re experiencing may be related to one of the following:

    • The Audio-Conferencing license is no longer assigned to the meeting organizer
    • A conferencing bridge (phone number) is not configured or has been modified
    • A policy or configuration change is affecting audio conferencing settings

In this situation, please your IT administrator, as they manage Teams configuration within your organization. They can help verify the following:

    • Whether the affected user(s) (especially the organizaer) still have an active Audio-Conferencing license
    • Whether a dial-in phone number is assigned to their account

For additional guidance, your IT administrator may refer to the Microsoft documentation:

Manage the Audio Conferencing settings for a user in Microsoft Teams - Microsoft Teams | Microsoft …

Manage Audio Conferencing settings - Microsoft Teams | Microsoft Learn

I hope this provides enough clarity and helps you stay inform with your current situation.

Thank you for your patience and your understanding. If you have any questions or need further assistance, please feel free to share them in the comments on this post so I can continue to support you.

A dial-in phone number only appears on Teams meeting invites when Audio Conferencing (PSTN conferencing) is correctly set up and licensed for the meeting organizer.

If no phone number is showing now, the most common causes are:

    1. Audio Conferencing is not enabled or licensed for the organizer.
    2. The organizer’s default audio conferencing number is not set.
    3. The conferencing bridge has no service numbers assigned.

To check and fix this as a Teams admin:

    1. Verify Audio Conferencing and numbers on the bridge
      • Go to Teams admin centerMeetingsConference bridges.
      • Confirm there are toll or toll-free service numbers assigned to the bridge.
      • If none exist, follow the documented steps to get service numbers and assign them to the bridge (see “Set up Audio Conferencing for Microsoft Teams” and “Phone numbers for Audio Conferencing in Microsoft Teams”).
    2. Ensure the organizer has Audio Conferencing and a default number
      • In Teams admin centerUsersManage users, select the organizer.
      • Under Audio Conferencing, select Edit.
      • Make sure the user is enabled for Audio Conferencing and that a Toll number and/or Toll-free number is set.
      • Select Apply.
      • Note: When these per-user numbers are set, they are used only if the user’s TeamsAudioConferencingPolicy does not already specify numbers.
    3. (Optional) Use TeamsAudioConferencingPolicy for numbers
      • If using policies, add toll/toll-free numbers to a TeamsAudioConferencingPolicy and assign it to the organizer.
      • Numbers in TeamsAudioConferencingPolicy take precedence over the user’s individual audio conferencing settings.
    4. Wait for propagation and update meetings
      • It can take up to 24 hours for newly assigned numbers to appear on meeting invites.
      • Existing meetings must be updated and re-sent after changing the organizer’s audio conferencing settings.
    5. Confirm scheduling method
      • Schedule the meeting from Outlook or from Teams with PSTN conferencing turned on for the organizer. If PSTN conferencing is not configured or licensed, no dial-in number will appear.

If, after confirming the above and waiting up to 24 hours, new meetings still show no dial-in number, open a support ticket from the Microsoft 365 admin center.
