Setting up future meetings with participants using Teams calendar or Outlook integration
Dear @Kyle Nash,
Thanks for sharing the details. I understand that you’ve already created the equipment resource and are now trying to book it in New Outlook but cannot find it in the attendee search.
To better understand your scenario and avoid making assumptions, I set up a similar test environment on my side and went through the same steps you described.
At the beginning, I encountered a situation very similar to yours. Right after creating the equipment resource, I was not able to find it when searching by name in the “Required attendees” field in New Outlook, even though the resource had been created successfully.
To validate further, I tested across multiple environments (Classic Outlook, Outlook Web, and New Outlook).
Initially, the resource did not appear in search by name in New Outlook, just like what you’re seeing
However, after waiting for some time (in my case, a bit more than one hour), I was able to use the resource successfully by entering the full email address, and later on, the resource also started to appear in search results
The behavior you and I are seeing at this stage is typically related to provisioning and directory synchronization delay.
When a new equipment resource is created, it needs to propagate through multiple backend services before it becomes fully searchable in New Outlook and Teams.
During this period the resource already exists and is functional, but it may not yet appear in search results
Based on testing and common behavior:
- In many cases, this completes within about 1 hour
- Depending on the environment, it can take longer, in some scenarios up to around 24 hours for search to fully reflect new resources
If provisioning is not yet complete and you need to book the equipment immediately, you can temporarily Enter the full email address of the equipment resource directly into the attendee field
This allows you to proceed with booking without waiting for search to catch up.
I hope this helps clarify the situation.
If after giving it sometimes it still doesn’t appear in search, feel free to share an update and I’ll be happy to look into it further with you.
Thank you again and wishing you a great day!
Warm regards,
