Version History in Teams Assignment

Kia ora,

What does the version history for documents created in assignments, like Word document, disappear/reset and is it possible to restore it?

This experience isn't limited to one single student's assignement, but all student's work in a single assignment. Version history is one of the tools we use to track authenticity and it is incredibly frustrating when it resets.

Thanks
B

    Hello,

Thank you for raising your concern.

In general, version history is tied to a specific file in its current OneDrive or SharePoint location. As long as earlier versions still exist, they can be viewed and restored through Version History in OneDrive, SharePoint, or directly within the Office application. However, this restoration process only applies to versions that are still available. If certain versions are no longer attached to the file, the standard restore function cannot recreate those missing intermediate versions.

Since you are observing this behavior across all students within the same assignment, it would be helpful to review a few key areas. First, please check the underlying SharePoint library. You can open the SharePoint site associated with the class team, locate a student submission file, and compare the version history there with what is visible in Teams. Assignment files are stored in the class team SharePoint document library, so this comparison can help identify any discrepancies.

In addition, please review the version history settings and limits. Retention settings can be configured at the organization, site, or library level. As a result, changes such as automatic trimming or reduced version limits may affect how many historical versions are retained, and in some cases these changes may also apply to existing files.

Furthermore, based on Microsoft’s design, if the assignment workflow created a new copy of the file rather than continuing with the same file instance, the version history may not carry over. Consequently, if earlier versions are no longer present in the current file, they typically cannot be restored.

Version history for student documents in Teams assignments is provided by SharePoint/OneDrive versioning. Version history does not “disappear” per document arbitrarily; instead, it is governed by the versioning and retention configuration of the underlying SharePoint/OneDrive library and by how often Office/AutoSave creates versions.

Key behaviors relevant to authenticity tracking:

    1. Version history is not a keystroke-by-keystroke log
    • Version history in OneDrive/SharePoint captures versions periodically, not for every small edit.
    • With AutoSave on, a new version is typically added about every 10 minutes during an editing session, not for every sentence or minor change.
    • As a result, some short editing bursts may be “rolled up” into a single version, which can look like history has “reset” or skipped steps.
    1. Version history can be restored but not expanded retroactively
    • For files stored in OneDrive/SharePoint (as used by Teams assignments), earlier versions can be viewed and restored:
      • From the document library: right‑click the file → Version History → choose a version → Restore.
      • From within Word/Excel/PowerPoint: FileInfoVersion History, select a version, then Restore.
    • Restoring a version makes that version the new current version; it does not recreate missing intermediate versions.
    1. Library-level versioning settings control how much history is retained
    • SharePoint/OneDrive libraries can be configured to keep a certain number of versions or to prune older ones.
    • If limits or retention policies are applied, older versions may be deleted, which can appear as if history has been reset.
    • To maintain authenticity evidence, ensure versioning is enabled and configured appropriately on the underlying SharePoint/Teams document libraries.
    1. Practical steps for your scenario
    • For affected assignments, open the underlying document library (in SharePoint) and check Version History on a sample student file to see what remains.
    • If versions appear to be missing across all students’ work, review and adjust the library’s versioning and any retention policies so that sufficient history is retained for academic integrity checks.
    • Where versions still exist, they can be restored using the Version History tools described above, but any already-pruned versions cannot be recovered via standard versioning.
