    Dear @Balb Oliver (FDS2)

Thank you for posting your question in the Microsoft Q&A forum.

I understand you're trying to add the Format Painter to the toolbar in the new Outlook for Mac. I am glad to help clarify the situation.

Currently, the new Outlook for Mac introduces a refreshed toolbar experience and while the Format Painter command is not included in the current set of available options, your screenshot confirms that you are using the correct customization menu.

The guidance you saw in the referenced Q&A thread applies to the legacy Outlook for Mac, which offers a different toolbar layout and therefore includes commands that are not yet part of the new Outlook interface.

Here are some workarounds you can consider:

Option 1: Use the keyboard shortcuts for formatting

These shortcuts work across Microsoft 365 for Mac apps.

Select the text with the formatting you want to copy.

Press Command + Shift + C to copy the formatting.

Highlight the text where you want to apply the formatting.

Press Command + Shift + V to paste the formatting.

Option 2: Use paste options in Outlook

Paste your text into the email body.

Click the small paste icon that appears after pasting.  Choose Keep Source Formatting if you want to preserve the original style.

Choose Match Destination Formatting if you want the text to follow your email’s style.

Additional information is available in the following resource: Common Office for Mac keyboard shortcuts - Microsoft Support

Option 3: Convert to Legacy Outlook for Mac

If you prefer to continue using features that are not yet available in the new Outlook, such as Format Painter, you can switch back to Legacy Outlook.

Please use the link below for detailed guidance on how to revert and continue working with the classic experience: Outlook for Mac - Microsoft Support

I completely understand how these limitations in the new Outlook for Mac can feel disruptive. It’s not just about aesthetics; these differences can genuinely affect how smoothly you work and navigate your day.

As a forum moderator, I hope you understand that I don’t have the ability to modify or escalate product issues directly. However, I strongly recommend submitting your feedback through the Outlook (new) · Community portal or support the existing request here: Feature Request – Add Format Painter in Outlook for Mac · Community. This is the most effective way to ensure your voice reaches the product team and can be considered for future improvements.
